Why sample delivery is the differentiator

Office furniture decisions are made twice. The first decision happens at the showroom or in the catalog: which chair model, which fabric, which finish. The second decision happens after install: does this chair actually feel right at the user’s desk under their lighting against their walls. Most office furniture vendors ask buyers to make the first decision and live with the second one. Eggleston Office collapses the gap by bringing the candidates to your office before the order is placed.

The practical effect: buyers commit to chair models, fabrics, and panel finishes with much higher confidence than the showroom-only buyer journey allows. A chair that looked beige under showroom fluorescents reads warmer under your office’s natural light; a panel finish that seemed loud in a sample kit blends into your wall color cleanly; the user who would have unlocked a return-to-office complaint two months in instead reports the chair feels right the first day. The cost of avoiding a wrong-fit decision before placing the order is small relative to the cost of replacing it after install — both for our customers and for us.

What gets brought to your office

The pull depends on the project. For a typical chair-evaluation visit:

  • Three to six chair models — the candidates from the detailed floor plan’s recommended new-and-pre-owned mix. New 9to5 Seating chairs (Bristol, Diem, Cosmo) alongside inspected pre-owned Steelcase Leap V2 and Herman Miller Aeron, depending on what your project shape calls for.
  • Fabric and mesh swatches — the available colorways and material options for the chairs in the running, plus any custom-fabric options the order would support.
  • Panel and surface finish samples — for cubicle and workstation projects, panel fabric and surface laminate samples in the size your team needs to actually evaluate.
  • Reference materials — the detailed floor plan printed at scale (24×36 architectural sheet size) for the working session, the 3D rendering on a laptop, and any model-specific spec sheets the conversation calls for.

For larger projects (50+ chair orders, full-floor cubicle builds), we will bring more units — six to ten chair models, multiple condition examples for pre-owned options, full panel-and-surface mock-ups when scope calls for it. The visit length scales accordingly; chair-evaluation visits run 60 to 120 minutes depending on the order size and how many people from your team are evaluating.

When sample delivery happens in the project

Sample delivery is a step in the four-step service workflow, scheduled after the initial on-site measurement and detailed floor plan review:

  1. On-site measurement — we visit your office, measure the space, and have a vision conversation. (Detailed on the on-site measurement page.)
  2. Detailed floor plans and 3D design — drawings produced after the visit, reviewed with you in a working session. (Detailed on the detailed floor plans and 3D design page.)
  3. Sample delivery — the chair models, fabric swatches, and finish samples in the running pulled from the Euless warehouse and brought to your office for evaluation. The session usually involves the buyer plus two to four representative employees who will sit in the chairs daily.
  4. Quote, order, install — with the chair models, fabrics, and finishes locked, the quote is finalized; the order goes to the manufacturer (for new) or holds against warehouse inventory (for pre-owned); the install lands on the move-in date.

Sometimes sample delivery happens earlier in the journey — before the detailed floor plan is final — when the chair model is itself driving the project (a buyer who knows they want to evaluate Aeron sizes head-to-head before designing the floor around the seating). The order is flexible; the principle is that sample evaluation happens in the buyer’s office, not in ours.

What sample delivery is not

Sample delivery is not a sales presentation. The team that delivers samples is the same team you have worked with from the on-site walkthrough forward, and the conversation is consultative, not pitched. The non-commissioned-sales structure means the team has no incentive to push you toward a particular chair model based on margin; the recommendation reflects what fits your project. If, after the sample evaluation, you decide you want a chair we did not bring, we will source it for the next visit or the next project decision.

Sample delivery is also not a leave-behind program. The samples are pulled from the warehouse for the visit and returned to inventory after the evaluation. We do not leave chairs at your office for week-long trials by default — that pattern is doable for very large orders (250+ chairs) where the operational cost is justified by the order size, but for typical projects, the sample-evaluation session at your office produces the decision in one visit.

Service area for sample delivery

The DFW metroplex is the standard service area. Sample delivery within the four-county core (Tarrant, Dallas, Collin, Denton) is included free with the project; per-trip logistics are absorbed because the visit is a meaningful step in the conversion path. Outer-DFW counties (Rockwall, Ellis, Johnson, Parker, Wise) are also included for in-DFW-area projects.

Statewide Texas sample delivery (Austin, San Antonio, Houston, Dublin, Aledo, Parker County, and elsewhere across Central and North Texas) is quoted per project. For large enough orders, the truck trip is absorbed; for smaller orders, a sample-delivery line item appears on the project quote.

Is sample delivery really free?

Either way, we do not gate sample delivery behind a deposit; it is part of how the engagement is structured.

How many chairs can you bring at once?

For typical chair-evaluation visits, three to six chair models. For larger projects, six to ten models with multiple condition examples for pre-owned options. The constraint is what fits in our delivery vehicle and what we can stage and discuss productively in a 60-to-120-minute working session, not a hard cap on number of models.

Can the sample delivery happen before we have a detailed floor plan?

Yes, when the chair model itself is driving the project. Some buyers know they want to evaluate specific chair models head-to-head (Aeron Size A vs Size B vs Leap V2, for example) before designing the floor around the seating. We will pull the chairs and run the evaluation early in the project; the detailed floor plan follows once the chair direction is locked.

What if I want to keep one chair for a longer trial?

For very large orders (250+ chairs of the same model), we can leave one or two chair samples at your office for week-long trials with representative users. For typical projects, the sample-evaluation session at your office is enough to land the decision in one visit; week-long trials are doable but rare. Ask about it during the visit if it would help your decision.

What if my office is in Houston or Austin?

We have run sample-delivery visits to Houston, Austin, and San Antonio for project sizes that justify the trip. The mechanics are the same as a DFW visit; the truck-trip logistics get quoted per project. For smaller out-of-region orders where the per-trip cost would be a meaningful fraction of the order, we may suggest pre-owned sample shipping (we send a single inspected unit by freight for trial) or a different evaluation pattern, but the principle stays: evaluation happens in your space, not ours.
